Privacy Policy

1. Our Commitment
The Methodist Girls’ High School Old Girls Association, Ontario, Canada Chapter (“MGHSOGAO”, “we”, “us”) respects your privacy. This policy explains what personal information we collect through https://mghsogaontarioca.org (the “Site”), how we use and protect it, and your choices. We handle personal information in keeping with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and its fair information principles.
2. Information We Collect
- Membership applications: name, email, phone number, MGHS graduation year or class, city or province, and participation interests.
- Alumnae information updates: name, email, phone, graduation year, city, province or country, occupation, and preferred contact method.
- Contact form: name, email, reason for contacting us, subject and message.
- Event RSVPs: name, email, phone, event name, number attending, guest names, and any accessibility or dietary notes you choose to share.
- Sponsorship and donation interest: name, email, phone, organization, support type and estimated amount.
- Orders: name, email, phone, billing and delivery address, items ordered and payment confirmation details.
- Donations: name, email and amount, as provided to us by PayPal, Interac e-Transfer or cheque.
- Technical information: IP address, browser type and pages visited, collected through cookies and standard server logs.
3. How We Use Your Information
- Process and fulfil orders, including pickup and delivery.
- Process membership, keep alumnae records current and share chapter news.
- Respond to enquiries, RSVPs and sponsorship interest.
- Record and acknowledge donations.
- Plan events, including accessibility and dietary accommodations.
- Operate, secure and improve the Site, and meet legal and accounting obligations.
We do not sell, rent or trade your personal information.
4. Consent
By submitting a form, placing an order or donating, you consent to the use of your information for the purpose for which it was provided. You may withdraw consent at any time, subject to legal or contractual limits, by emailing us. You can unsubscribe from chapter communications at any time.
5. Sharing With Service Providers
We share information only as needed to deliver our services:
- Payment processors: WooPayments/Stripe and PayPal process card and account payments. We do not store full card numbers.
- Interac e-Transfer, through your financial institution.
- Delivery partners, such as Uber, receive your name, delivery address and phone number to complete delivery.
- Website hosting, WordPress and its plugins (including WooCommerce and WPForms), and email providers.
- Google, if you view our embedded calendar, and Facebook or YouTube, if you follow links to them.
Some providers may store information outside Canada, including in the United States, where it may be subject to the laws of that country. We may also disclose information where required by law.
6. Cookies
The Site uses essential cookies to operate the shopping cart, checkout and forms, and may use analytics cookies to understand site use. Embedded content from Google, YouTube and others may set their own cookies. You can control cookies through your browser settings; disabling essential cookies may prevent checkout from working.
7. Retention
We keep personal information only as long as needed for the purposes above. Order and donation records are kept for up to 7 years to meet accounting obligations. Membership and alumnae records are kept while you remain connected with the chapter, and you can ask us to remove them.
8. Security
We use reasonable administrative, technical and physical safeguards, including encrypted (HTTPS) connections and restricted access for authorized chapter executives. No system is fully secure, so please do not send card numbers or other sensitive information by email or through forms.
9. Your Rights
You may ask to access, correct or delete your personal information, or ask questions about how we handle it, by emailing connect@mghsogaontarioca.org. We respond within 30 days. If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada (priv.gc.ca).
10. Children
The Site is intended for adults. We do not knowingly collect personal information from children under 13. Guest names provided in an RSVP are used only to plan the event.

12. Changes to This Policy
We may update this policy and will post the revised version on the Site with a new “Last updated” date.
